Job Summary
The Customer Service Representative is responsible for delivering exceptional service to customers both in person and over the phone. This role involves a variety of administrative and customer-facing tasks, including invoicing, order processing, account support, and managing cardlock systems. The ideal candidate will have strong communication skills, a customer-first mindset, and the ability to multitask in a fast-paced environment.

Responsibilities and Duties
- Greet and assist walk-in customers at the front counter
- Generate invoices and process payments (account, cash, check, credit card)
- Answer incoming calls related to product orders, card orders, and inquiries
- Assist customers with card-related issues and general inquiries
- Make proactive weekly customer service calls
- Document all customer interactions in the CRM system
- Prepare daily deposits and update accounts receivable records
- Respond to accounts receivable inquiries and follow up as needed
- Provide invoice copies and other requested documentation to customers
- Maintain and update customer account information
- Enter new customer data and issue cardlock cards
- Cross-reference products, provide price quotes, and answer product-related questions
- Mail out requested materials such as SDS sheets, maps, and product information
- Confirm and process daily invoices, including reprinting and mailing
- Review daily gross profit margins on invoices to ensure they meet company targets
- Retrieve and manage video/picture records of cardlock transactions
- Process internal orders from the Sales Department
- Create paperwork for loaned equipment and repair tracking
- Set up 'Ship To' locations and 'Keep Fill' customer settings
- Generate and maintain reports using Sage 100 and SkyBitz
- Set up and onboard new customer accounts
- Monitor and follow up on Unusual Activity Reports
- Handle and deliver outgoing mail to the Post Office
- Support and participate in special projects as assigned
- Participate in the After-Hours Call Program (weekly rotation)
- Review and resolve items in the Open Order Report to ensure order completion
Knowledge / Skills / Abilities Required
- Strong verbal and written communication skills
- Excellent problem-solving skills and attention to detail
- Comfortable with multitasking and handling multiple priorities in a fast-paced setting
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with CRM systems preferred
- Ability to learn and use internal systems such as Sage 100 and SkyBitz
- Professional demeanor with a customer-first mindset
- Strong organizational skills with the ability to manage time effectively
- Dependable and punctual, with a strong work ethic
- Comfortable working independently as well as part of a team
Education / Professional Experience
- 2+ years of customer service experience required.
- 2+ years of similar administrative or office-based environment experience preferred.
- High school diploma or equivalent required.
- Associate degree or higher a plus.
